Sales Administration Assistant – Job Description

Objective

To assist the Admin, Operations, Sales and Accounts teams by providing appropriate support whilst learning about our business, with a view to developing into an ongoing front line sales role

Administration 

  • Answering and dealing with telephone enquiries
  • Dealing with incoming and outgoing mail / email
  • Filling general documents
  • Scanning documents
  • Ensure supplies of stationery are complete and reorder where required

Operations

  • Assist Operations Director with maintenance team routing
  • Plant container and sundries stock ordering
  • Stock taking

Sales & Marketing

  • Cold calling – telephone
  • Managing CRM database
  • Internet Research
  • Respond to incoming enquiries and set up appointments for sales team
  • Attend relevant sales appointments
  • Produce quotations using existing templates
  • Produce and send mailshots
  • Assist with researching content for marketing campaigns and blogs

Accounts

  • Processing orders, contract amendments and cancellations

General

  • We are a team – sometimes it is appropriate or necessary to assist with a plant display installation

Sales Executive – Job Description

Objective

  1. To find and close new business
  2. To develop and retain existing customer accounts.
  3. Within defined geographical area, find new prospects and qualify existing prospects, generate own appointments, specify and produce quotations.

New Business – Existing Prospects

Contact existing prospects to qualify and categorise with the aim of securing appointments

  • Manage a particular geography of prospects through our CRM system – have own Task List and follow up info at regular intervals (telephone or email); manage a specific category of own prospects to ensure that our company is remembered (e.g. in good time for future renewal date)
  • Proactively secure appointments
  • Carry out appointments – fully understand customers’ requirements and brief. Agree design and specify planting scheme
  • Prepare pricing and quotation – follow up quote – further visits as necessary, sometimes with sample containers etc. Close business

New Business – New Prospects

  • Cold calling – face to face and telephone
  • Internet Research/Networking/local knowledge
  • Respond to incoming enquiries

New Business – Existing Customers

Regular account management visits to

  • Renew contracts

Tropical Plant Maintainer – Job Description

Objective

To visit customers on a regular fortnightly schedule to maintain plant displays to Green Team Interiors’ very high standards. To liaise with the customer on each visit and to feedback any relevant information to central customer support team.

Duties

  • Answering and dealing with telephone enquiries
  • Maintaining plant displays on a fortnightly basis on customer premises which includes:
    • Watering
    • Cleaning of leaves
    • Removal of dead, dying or yellowing leaves
    • Trimming plants to ensure an aesthetically pleasing shape
    • Cleaning of planter
    • Identifying plants which are due for replacement
    • Ordering replacement plants via customer support team and/or Maintenance Team Manager
    • Replacing plants as required
    • Topping up of soil levels and top dressings as required
  • Assisting with planting up new displays for delivery
  • Occasional assistance with installations
  • Helping with Christmas Tree installs and collections
  • Helping with “special” maintenance jobs, e.g. tree-cleans, seasonal changes to exterior displays, artificial cleans etc, etc
  • Holiday and sickness cover for other maintainers
  • Care of plants at workshop
  • Assisting other maintainers when required particularly with topping up or other jobs which may require assistance.
  • Collection of goods from suppliers

Tropical Plant Maintainer – Person Specification

Skills, abilities and experience

  • Good general horticultural knowledge, particularly of tropical plants or enthusiasm and willingness to learn
  • Awareness of pests and diseases which can affect interior plants – or willingness to learn.
  • Clean driving licence plus ideally experience of van driving (inc Lutons)
  • Customer service skills
  • Manual handling skills – lifting compost and displays etc
